Media Pass Request Guidelines – ASHE Conferences

The American Society for Health Care Engineering (ASHE) of the American Hospital Association will provide complimentary media passes for select ASHE conferences to confirmed members of the media (writers, reporters, bloggers, podcasters, reviewers, photographers, videographers, social media content creators, etc.) who cover the health care field and intend to use their attendance to share event coverage with their respective audiences through media outlets.

Requesting a Media Pass

ASHE requires registering for a media pass in advance of the conference. To request a media pass, contact ASHE’s Communications Team at lhegedus@aha.org.

General Guidelines

Media passes to ASHE conferences will be issued for free to qualified members of the media at the discretion of the ASHE Communications Team.

Qualifications:

  • Requestor is a current employee of an established print, broadcast, or recognized internet media entity or platform that covers the health care field (editorial website, newspaper/magazine, podcast, blog, social media account, etc.).
  • Requestor is attending the ASHE conference for the purpose of covering the event on their media platform. Requestors must be working media representatives and provide evidence that their attendance is expected to result in coverage of the meeting or event in print, broadcast, or internet media.
  • Freelance writers must submit a letter of assignment or letter of intent from the media outlet being represented.
  • You must fall under one of the following media areas to receive a media pass (entity must actively cover the health care field. Personal webpages or blogs will not be accepted):
    • Business and trade publications/news wire services
    • Television, radio, and podcasting
    • Freelance writers
    • Online publications
    • Established social media accounts
    • Newsletters
  • Submitting an application does not guarantee approval of a media pass.
  • AHA/ASHE reserves the right to deny or revoke press pass requests for any reason at any time and reserves the right to inspect the credentials of anyone registering as media at an ASHE conference.
  • Media representatives attending an ASHE conference with a media pass are not entitled to any giveaways or promotional/complimentary items (i.e., food, beverages, Exhibit Hall giveaways, etc.).

Media Pass Prohibitions

  • ASHE will not issue passes to staff of media advertising, marketing, public relations, publishers, or sales representatives.
  • Also prohibited from receiving media passes are: publishers, editors, or reporters from promotional publications; exhibitor’s public relations staff; writers creating analyses or reports that will be sold as a commodity; or any others who are not reporting on the conference.
  • ASHE conference content may not be used to create free or paid education materials.
  • Any media pass holder who sells, markets or represents a company or organization for the purpose of obtaining advertising, sales or subscriptions from any meeting registrant or exhibitor will be asked to immediately forfeit media credentials.
  • Offer may not be combined with or applied to any other promotions, discounts or previously purchased registrations. Media passes are non-transferable and cannot be sold.
  • No CEC credit will be available to individuals admitted to an ASHE event with a media pass.

Media Pass Access

  • Media passes cover free access to events in the “Full Conference Registration” tier (conference itself) and do not include coverage of any other expenses related to the conference (hotel, flight, food, etc.) or any other conference-related ticketed events.
  • Full Conference Registration passes grant media members access to:
    • All main conference sessions (excludes pre- and post-conference programs or meetings)
    • Exhibit Hall
    • Media and Podcast Room (when available)
    • Speaker interviews (submit specific requests to the ASHE Communications Team)
    • Official conference photography (with proper attribution)
  • ASHE will help facilitate any onsite media interview requests with ASHE staff or conference presenters. All interview requests must be made 24 hours in advance, and can be sent to lhegedus@aha.org.

Photography, filming and live broadcasts

Taking photos or filming within an ASHE conference for public consumption requires advance permission by the ASHE Communications Team. To apply for permission, email ASHE’s Communications Team at lhegedus@aha.org.

Media and Podcast Room information

The Media and Podcast Room will be available at select conferences for media members to use throughout the event (room hours will vary), including a reservable interview room. Use of the interview room can be reserved in advance, otherwise the room is first come, first served.
